Booking Process

icelandunlimited.is is the online booking site and trading name of Iceland Unlimited Travel Services ehf. Our head office is located in Bíldshöfði 20, 110 Reykjavík, Iceland. These booking conditions govern all bookings with icelandunlimited.is. Any booking or order placed by you, whether through the company’s website or otherwise, shall be deemed as an offer by you to purchase the relevant package or other travel arrangements subject to these booking conditions. No contract between you and Iceland Unlimited shall come into existence until Iceland Unlimited accepts the first confirmation deposit and acknowledge confirmation of the successfully processed transaction. The person who makes the booking accepts these conditions on behalf of all members of the party and is responsible for all payments due from the party. Booking services with Iceland Unlimited are currently only available to clients 18 years of age, or older. By submitting a booking, you warrant and confirm that you comply with these arrangements.

General Terms of Payment

To pay for services booked directly at icelandunlimited.is, we accept all major credit cards and electronic bank transfer. A non-refundable deposit of 20% of the total price is required by Iceland Unlimited at the time of booking (30% for special packages) and as a confirmation of your requested service. Full payment (80% of the total amount) should be received by Iceland Unlimited within 4 weeks prior to arrival date. In the case of delayed payment, Iceland Unlimited reserves the right to treat this as a cancellation and to withdraw its confirmation of the services.

Terms of Payment for Greenland, Faroe Islands, and packages where domestic flights are included

For packages to Greenland and Faroe Islands that includes International flights or with Iceland tours that involves pre-booked domestic flights, we apply specific terms of payment. In the previous-mentioned circumstances, a non-refundable deposit of 30% of the total price is required by Iceland Unlimited at the time of booking and as a confirmation of your requested service. Full payment (70% of the total amount) should be received by Iceland Unlimited within 6 weeks prior to arrival date. In the case of delayed payment, Iceland Unlimited reserves the right to treat this as a cancellation and to withdraw its confirmation of the services.

Methods of payment and further information

American Express, Discover and Diners apply high handling fee. Therefore, an additional 3% of the total invoice is debited to our clients. To avoid this additional fee and if possible, we recommend using a different major credit card provider. If you wish to proceed with the payment via electronic bank transfer instead, please communicate your preference with your assigned travel agents for bank coordinates and additional, detailed information.

In the event that Iceland Unlimited is unable to obtain confirmation from the supplier or in case of a change in availability, a suitable alternative solution will be presented to the client.  If the customer does not accept the proposed adjustments, or if Iceland Unlimited is not able to offer a plausible alternative, no charge will be made.

Validity of Prices

All prices quoted by Iceland Unlimited are offered in our National Currency, the Icelandic Króna. We invite you to visit the website of our National Bank (that for your convenience you can find here) to check the current exchange rate and convert the quoted amount to your local currency.

In the event of currency fluctuation, government taxes, or any such cost increase that is beyond Iceland Unlimited control, Iceland Unlimited is not to be held responsible for this type of variation. Iceland Unlimited reserves the right to notify you of any increase to prices already published in our price lists, brochures or website. Any eventual changes in rates will not be made without at least eight weeks’ notice. After the final invoice has been issued, the price is guaranteed against any surcharge, unless the increase is due to government laws or currency changes. Iceland Unlimited will absorb an amount equivalent to 5% of the package price. Amounts exceeding 5% will be charged but should the surcharge exceed 10%, you will be entitled to cancel your booking with a full refund.

Cancellation

All cancellations must be communicated in writing via letter or email. In conformity with business practices within the Nordic travel industry, the travel agent is obliged to charge cancellation fees to passenger(s) as follows:

Notice of Cancellation – Day Tours

Iceland Unlimited offers a variety of day tours and activities provided by our trusted partners. Cancellation and terms and conditions vary depending on each tour. We kindly ask our clients to carefully review the terms and conditions linked to the selected day tour.

Standard Charges for Cancellation & Changes of Bookings:
Notice of Cancellation – Individual Customer

More than 30 days prior to arrival 20% cancellation charge
Less than 30 days but more than 7 days 50% cancellation charge
Less than 7 days prior to arrival but more than 72 hours 75% cancellation charge
Less than 72 hours prior to arrival 100% cancellation charge

Notice of Cancellation – Groups (from 10 people / 5 hotel rooms or more):

More than 12 weeks prior to arrival 30% cancellation charge
Less than 12 weeks but more than 4 weeks 50% cancellation charge
Less than 4 weeks but more than 2 weeks 75 % cancellation fee
Less than 2 weeks prior to arrival 100 % cancellation fee

Notice of Cancellation & Terms and Conditions for MICE and Events:

For larger groups, meetings, incentive trips and events, each program will be designed based on our clients’ requirements and needs. With the initial offer, you will receive an overview of the cancellation terms based on the size of the group and travel dates. Iceland Unlimited will stipulate a specific contract with the client, upon confirmation of the service.

Some of our holiday packages have stricter cancellation rules if so they will be stated under detailed information on the product site.

Please note that cancellation by passenger(s) within a group may either result in a price increase for the whole group or a cancellation fee being charged to the passenger(s) who has canceled.

Should your day tour be canceled due to bad weather conditions or other events beyond our control, Iceland Unlimited will refund your tour minus a 3% handling fee.

We charge a 45,000 ISK flat fee for modifications to an already confirmed booking/itinerary. Additional charges might apply if changes are close to travel dates up to 4 weeks to your pre-established arrival date. Please communicate with your agent regarding possible additional expenses.

We strongly recommend that all our clients purchase
travel insurance as the best protection of your travel investment.

Special offers – Terms and Conditions

The following terms and conditions apply to all Special Offers on icelandunlimited.is in conjunction with our standard booking terms for all Iceland Unlimited holiday packages:

– For new bookings only
– Not valid in combination with any other discounts, promotions or commissionable prices
– Discount will be deducted from the total price at the time of booking

Travel Documents and Vouchers delivery.

Travel documents and vouchers will be delivered to you electronically or in physical format upon arrival.

Liability and Force Majeure

Iceland Unlimited disclaims responsibility for any loss, damage, accident, injury, sickness or schedule change due to weather, strike, pandemic or any other cause beyond Iceland Unlimited’s control. Iceland Unlimited acts in good faith, and cannot be held responsible for any agent, hotel, coach operator, airline, guide, restaurant or any other person’s or company’s acts, defaults or delays. Iceland Unlimited reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise as your safety is our utmost priority. In the case of any changes to flights (domestic and international), the passenger is responsible for any additional costs incurred as a result of such changes (i.e. additional hotel nights, meals, transfers, etc.), at the time provided. For any other circumstances and to cover any unforeseen delay, loss or other mishaps, we advise all traveler(s) to have comprehensive travel insurance to meet all contingencies and in case of any loss, damage, accident, injury, sickness or schedule change beyond our responsibility.

Our goal is to provide excellent customer service and in order to do so, we maintain strict quality monitoring. If for any reason you are dissatisfied with your holiday package, we want to hear about it. We recommend that you contact us as soon as any incident arises. If you are unable to do so at the time, you must advise Iceland Unlimited in writing within 7 days of your return. If you fail to do so, this may jeopardize your right to compensation. All information on the website is subject to change. Iceland Unlimited reserves the right to alter/change/correct mistakes that may possibly appear in the website or published price.

In the case of lost luggage

Iceland Unlimited is not responsible for lost items and is unable to assist during the process of tracking and retrieving the missing luggage. We recommend our guests to purchase travel insurance to protect their belongings and their travel investment.

Rental car

For all our self-drive tours that include a rental vehicle, please note the following:

  • Age Restrictions: Mini, Economy, Compact, Intermediate & Full-Size categories. Minimum age of a driver is 20 years of age as indicated by the date of birth on the driving license and the driver must also have been in possession of a driving license for at least 1 year at the day of rental.
  • SUV Economy, SUV Compact, SUV Intermediate categories. Minimum age of a driver is 25 years of age as indicated by the date of birth on the driving license and the driver must also have been in possession of a driving license for at least 2 years at the day of rental.
  • SUV Full Size, SUV Premium, SUV Luxury categories. Minimum age of a driver is 25 years of age as indicated by the date of birth on the driving license and the driver must also have been in possession of a valid driving license for at least 3 years at the day of rental.
  • Driving License: The renter and each additional driver must be in possession and present a full valid driving license held for a minimum of one year at the day of rental. If renter’s national driving license is not printed in Roman script (I.e. Arabic, Greek, Russian, Chinese, Japanese, etc.) an International Driving Permit (IDP) or International Driving License (IDL) is required. A valid passport is requested at the time of pick up.
  • Please note that a credit card as a guarantee is required by the renter at the time of pick-up.
  • When retrieving the rental vehicle, the traveler will be signing a direct contract with our rental car partner. The contract stands as a legal agreement between the traveler and the rental car partner. Please, we invite you to read the document, completely and thoroughly before signing it.

VISAS and Travel Documents

Iceland Unlimited assists with all land arrangements in Iceland, Greenland, and The Faroe Islands however, we are not responsible for visa applications. The main purpose of our travel agency is to help travelers plan their trips and offer services like booking flights, hotels, and tours. The procedure for applying for visas or the power of immigration officials to make decisions, however, is not under our control. It’s the travelers’ responsibility to secure a visa and/or consult a visa service sufficiently in advance of their trip to allow them to secure the necessary documentation in advance of their travel dates.

VAT
VAT is included in all the prices quoted.

Applicable Law
By using Iceland Unlimited Travel Service, you accept that this agreement shall be governed, construed, and enforced in accordance with the laws of the Republic of Iceland.
